Project Coordinator (1 year contract)
About the opportunity
The Project Coordinator for Elm City Events will work directly with the owner to deliver memorable experiences for our clients through the superior execution of well-structured project plans. This is an exciting opportunity to be a part of the development and growth of a new business. Elm City Events is a full-service event management company based in Fredericton, New Brunswick with a growing list of clients within New Brunswick and across the country. The Project Coordinator will play a vital role in establishing Elm City Events as the premium name in event management in an environment designed to have fun along the way.

Responsibilities
Provide administrative support to the Owner & Principal Planner on an on-going basis.
Source vendors to find the most competitive pricing for clients.
Work with the team to create itineraries for client events. This would involve coordinating travel details, booking restaurants, gathering menus, booking activities and packaging client gifts for on-site delivery.
Support in-market events by sourcing venues and suppliers in the event city.
Where applicable, travel to the event host city as part of the pre-event assessment and/or to assist with the execution of the event.
Source, prepare and package client mail outs.
Provide logistics support and coordination for various events across the country.
Manage event email inboxes and reply to event attendees, sponsors and exhibitors as needed
Coordinate all aspects of pre-conference planning, including name badge creation, delegate package preparation, program creation and printing, preparing registration desk materials and running event reports for all stakeholders.
Provide administrative support to the team by creating event materials, packaging client gifts for events, calling and emailing invitee lists to confirm attendance at client events.
Send client surveys after events. Collect the results and share them with the team.

Confident interpersonal and communication skills.
Demonstrated research, analytical and written skills.
Ability to use Microsoft Office Suite (Outlook, Excel, Word, and PowerPoint), Adobe Suite, Asana. As well as the ability to learn new technologies to support the delivery of our client’s events, where applicable.
1-3 years of event planning experience.
1-3 years experience providing administrative support.
Bachelor’s degree in Marketing, Business or related field considered an asset.
Ability to travel within Canada.
Must have a drivers license and access to a vehicle.
Flexibility to work a variety of hours including evenings and weekends.

Salaried, full-time 1 year contract. Salary to be negotiated with the successful candidate. Contract extension is possible.
